Summary/Objective

The basic goal of planning and scheduling is avoiding delay. The role of the Maintenance Planner is to improve work force productivity and work quality by anticipating and eliminating potential delays through planning and coordination of labor, parts and material, and equipment access.

The Planner works jointly with procurement to obtain an optimized total cost of materials and services, within specification requirements that supports safe work practices and plant safety and operational objectives. The planner is responsible for providing data to support maintenance metrics. The Planners primary responsibility is to review notifications, create maintenance orders and plan labor and material required to execute the order, scheduling, requisition of materials, maintenance order management and CMMS /SAP Database maintenance. This requires a working knowledge of CMMS /SAP and a functional understanding of maintenance craft skills, tools and equipment in the areas of responsibility.

The Maintenance Planner position is responsible for planning preventive and corrective maintenance activities in order to support customer production by minimizing downtime. This very important role will help in the achievement of the site's business goals and objectives.

Key Accountabilities

The planning and scheduling function is the hub from which all plannable maintenance activity is coordinated. It is the process of describing a job in terms of how it is to be performed and what resources will be required. It involves a broad spectrum of activity.

In performance of her/his duties, the Planner:

Complies with all site safety and environmental policies.
Will be the principal contact and liaison person between Maintenance, Operations and other supported departments. In this capacity, the planner ensures that all internal beneficiaries of Maintenance receive timely, efficient and quality service. He also takes a continuing interest in internal needs. With keen awareness of the situation (schedule, problems, etc.), the Planner is able to help Operations balance their need for daily output with their need of equipment reliability through proactive maintenance.
Screens all notifications, except emergency notifications, in assigned area of responsibility to see that the notification accurately defines the scope of work, meets the criteria for the assigned priority, and is a valid request for work to be performed by maintenance personnel and financed by the applicable maintenance expense budget. The planner converts notifications into correctives maintenance orders (CM) and creates a maintenance work plan. As needed, the planner secures additional information prior to converting the notification into a maintenance order.
Creates detailed job plans for all CMs, via CMMS /SAP. Detailed job plans could include: field walk down or evaluation; manpower estimates by craft or contractor to support best practice scheduling and note any applicable safety regulations/concerns.
Creates a job package that goes to the field for use by the appropriate technicians. The job package would include: a copy of the CM; technical service data; reference drawings; any additional safety information.
Maintains a planned backlog for assigned crews.
Maintains planned backlog by priority. Produces or assists in creation of schedules for mini-outages.
Creates and maintains CMMS /SAP database. This includes data input for functional locations, equipment, bills of material, reusable job plans for repetitive jobs, predictive/preventive maintenance task list, equipment items and maintenance plans.
Provides materials, tools, services and equipment through requisitioning, storehouse stock, purchasing cards or rentals
Creates and maintains Preventive/Predictive Maintenance (PPM) tasks/orders via CMMS /SAP to be used in the scheduling process.
Provides input to the planning/scheduling metrics and provides services to help maintain metric target levels.
Facilitates expedition of materials and services for non-emergency work per planning directives.
Performs special duties as assigned by the Maintenance Manager that are applicable to the maintenance work processes.
Following execution of the work, certain critical information is recorded for future reference including: correction of any parts related data, identification of the failure code for the work involved, update any reusable job plans as needed, capture of any data specific to the job and included in the CMMS /SAP record, close out of the PM/CM.

Specific Planner Scheduling Responsibilities:

Creates and maintains data base of planned ready-to-work MOs to be used in the daily/weekly or mini-outage scheduling processes. This includes reporting accurate resource data to the Planning Lead to support scheduling resource leveling. Coordinates MO prioritization with Maintenance Foreman and Operations Maintenance Coordinator
Creates and publishes weekly and daily schedules
Attends daily update meetings with Maintenance Foreman and Maintenance Manager to revise/finalize the next day's or week's work schedule

Supervisory Responsibility

This position has no supervisory responsibilities.

Work Environment

While performing the duties of this job, the employee is frequently exposed to fumes or airborne particles, moving mechanical parts and vibration. The noise level in the work environment and job sites can be loud.

Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

Position Type /Expected Hours of Work

This is a full-time position, and hours of work and days are Monday through Friday, 07:00 a.m. to 3:30 p.m.

Employee should be also available for overtime based on workload and for on call duty services. Additional changes to shift may be required to suit needs of our client.
